Get started
Install Gambit CRM for Jira from the Atlassian Marketplace, choose who uses Gambit and who sees your customers, and run your CRM inside Jira the same day.
What you need
- A Jira Cloud site and a Jira admin. The setup wizard runs in your browser as you, so you need Jira admin rights. Limiting Gambit to a new group needs a site admin; if that isn't you, the wizard gives you a ready-to-send message for your site admin and carries on once the group exists.
- Three space keys. Gambit creates three company-managed spaces, keyed RBCRM, RBDIR and RBACT by default. If a key is taken, pick another in the wizard.
- Any Jira plan. Gambit works on every Jira plan. On Jira Free, everyone on the site sees every record; private deals and private threads need Jira Standard or above. See Jira plan limit.
- Optional, for later: an export from your current CRM (Salesforce, HubSpot or Pipedrive) and a Google Workspace admin who can approve Gambit Mail Sync.
Install Gambit
Gambit comes as two apps on the Atlassian Marketplace:
| Listing | What it gives you |
|---|---|
| Gambit CRM for Jira | The CRM: the workspace, the Ask bar, the customer panel on every Jira issue, Gambit's fields, reports, AI, and the SaaS and Professional services packs |
| Gambit Mail Sync for Jira | Email and calendar capture from Google Workspace onto your Jira work items |
Install Gambit CRM for Jira first. Mail Sync requires an active Gambit subscription. You pair it with Gambit after setup (Connect Mail Sync).
- Open the Gambit CRM for Jira listing on the Atlassian Marketplace and choose Get it now (or Try it free).
- Pick your Jira site and confirm. Atlassian shows the permissions Gambit asks for before you approve them.
- Go to Manage apps, find Gambit and choose Configure. The setup wizard opens.
Gambit is free on Standard for sites of up to 10 users, so a small team can install and keep using it at no cost. See Pricing and licensing for larger sites.
Run the setup wizard
The wizard walks you through a handful of short steps. Back and Next keep your answers, and if you close the tab you pick up where you left off.
- Welcome. Gambit detects your Jira plan, how many users your site has, whether you use Jira Service Management and Rovo, and shows what that means for you.
- Company. Your reporting currency, the month your fiscal year starts, and your own email domains, so Gambit can tell your team's email from your customers'.
- Spaces. Names and keys for the CRM, Directory and Activity spaces. Gambit checks each key as you type.
- Access. The one question about who sees customers, deals and email (below).
- Packs. Choose industry packs. SaaS and Professional services are ready for every team, and every pack installs fully on every edition. See Industry packs.
- People and groups. Who uses Gambit? Choose Everyone in Jira or Limit Gambit to a group (below).
- Mail. Install Gambit Mail Sync for Jira from the Marketplace; once setup is finished, pair it in Settings › Mail.
- Preview. Every change Gambit will make, before it makes any.
- Apply. Gambit builds your setup from your browser and shows progress object by object.
- Finish. A health check of the new setup, the customer panel switched on for your work items, and your next steps: import data, invite users, open Gambit.
The preview shows every change
Before anything changes, the wizard lists every space, work type, field, screen, workflow, scheme, security level, group, filter and dashboard it will create or reuse, with before and after values for anything it modifies. The summary line reads "Nothing existing will be deleted." The preview names the only exceptions and lists each in its rows: access to Gambit's own spaces that your answers don't give, and anything someone added in Jira to Gambit's own fields. On a new site there are none. If Gambit finds a field or group that already matches, it reuses it and says so. Choose Download as a spreadsheet to keep the preview for your change records.
Apply runs one object at a time and records each step, so closing the tab mid-apply resumes at the next object with no duplicates. If Jira refuses a change, you see Jira's own message with Try again.
The one access question
The Access step asks: "Who should see customers, deals and their email?"
- Everyone in Jira (recommended). Everyone working on an issue sees which customers it affects and the revenue at stake, and the team reads customer email on the account.
- Only CRM users. Only the people who use Gambit open customers, deals and email. This choice is available only when you limit Gambit to a group: everyone else still sees customer names and revenue on their own work.
In everyone mode, Only CRM users is unavailable for the accounts-and-email audience: "Everyone in Jira uses Gambit, so customers are open to everyone. To narrow, limit Gambit to a group."
Email follows the record it's linked to, so whoever can open an account or deal also reads its email. Anyone can switch on Private on a single thread in Gambit, so only they and the people Jira allows can open it: by default, the owner and members of rainbook-admins. A deal owner can make a deal private to the people they choose. To change your answer, choose Run setup again in Jira settings › Apps › Gambit; Gambit updates who can open what straight away.
On Jira Free the wizard skips this step and says why in one line.
Who uses and runs Gambit
Everyone who can open the CRM space in Jira is a Gambit user from day one, with no group to fill in. They open the records Jira lets them see, use Ask, comment, attach files, add contacts and connect their own mailbox.
Your Jira admins run Gambit's settings and access. Imports, activity history, privacy requests, diagnostics, exports of all data and the nightly archive stay with members of rainbook-admins, because they show or change record content. Setup adds the person who runs it to the group; a Jira admin can add others in Jira's groups. To let someone run Gambit without making them a Jira admin, add them to rainbook-admins too. Admin rights never open a private record: Jira's security levels decide who sees it.
Jira guests are not Gambit users unless an admin adds them to rainbook-users.
Groups are optional. Setup asks Who uses Gambit? Choose Everyone in Jira, or to narrow who uses Gambit, choose Limit Gambit to a group and pick a group you already have, or let Gambit create rainbook-users. If you aren't a site admin, the wizard shows the exact group name with a copy button and Send to my site admin, then continues as soon as the group appears. When Gambit is limited to a group, everyone else on your site still benefits: they see customer names, revenue impact and health on their own Jira work, and with Everyone in Jira they can open the accounts and deals behind it.
To change who uses Gambit later, open Settings › Access › Who uses Gambit and choose everyone in Jira or a group; the confirmation names who gains or loses access. On Jira Free, use Run setup again in Jira settings › Apps › Gambit.
Free for sites of 1 to 10 users
Free on Standard for sites of 1–10 users: the whole CRM, the SaaS and Professional services packs, and Ask for a report within a monthly AI allowance, without background capture, summaries or drafts.
Atlassian bills apps by the number of users on your Jira site, so the free tier applies while your site has 10 or fewer users. When your team grows, Gambit moves to Standard pricing and everything you've built stays in place.
Your language
Gambit shows its screens in the language you use Jira in when that is English, German, Spanish, Japanese, Brazilian Portuguese or Simplified Chinese (European Portuguese reads Brazilian Portuguese), and in English otherwise. Each person picks their own: change yours in your Atlassian account under Account preferences › Language.
Connect Mail Sync
Install Gambit Mail Sync for Jira from the Atlassian Marketplace on the same site, then pair the two apps:
- Open Jira settings › Apps › Gambit Mail Sync. The page shows a Connect code.
- In Gambit, open Settings › Mail and check that it shows the same code.
- Press Connect.
If Gambit shows no code, press Pair Mail Sync instead and paste the pairing string it gives you under Pair with Gambit on the Mail Sync page.
Then connect mailboxes on the Mail Sync page; Mail Sync has each provider's steps.
Google Workspace capture is connected by the IT admin; Microsoft 365 capture is coming soon; personal Gmail accounts aren't captured; capture is labelled beta.
Next steps
- Import your CRM. Bring in accounts, contacts, deals, notes and email history from Salesforce, HubSpot or Pipedrive. Start with a dry run; you can undo an import for 14 days. See Import.
- Ask your first question. Type "Open pipeline by stage this quarter" in the Ask bar and get a chart you can save to a Jira dashboard. See AI.
- Find your way around. Home, the Inbox, Pipeline, Accounts, Contacts, Conversations and Reports: see The Gambit workspace.
- Invite your team. Open Gambit from Apps in Jira's main navigation, copy the page address from your browser and send it to your team. In everyone mode, people who can open the CRM space can start straight away; in group mode, add your team to the chosen group.
- Learn the admin side. Spaces, access, private deals, Rovo, and what you keep if you ever uninstall: see the Admin guide.
